Before reserving a service, please review this policy thoroughly. By reserving a yacht with KymaCommonsHub, you consent to and accept these terms for refunds.

Standard Cancellation and Refund Schedule

More than 72 Hours Before Charter

100% Refund

Eligible for: Complete refund excluding transaction fees

Processing Time: 5-7 business days

Processing Fee: €50 for credit card transactions

Conditions: Request must be made in written form through email or by phone

24-72 Hours Before Charter

50% Refund

Eligible for: Half the total cost of charter

Processing Time: 7-10 business days

Processing Fee: €25 reduction from the refund

Conditions: A valid reason is required; admin fees may apply

Less than 24 Hours Before Charter

No Refund

Eligible for: No return is available

Exception: We may consider emergencies

Alternative: Credit for a charter may be granted at discretion of management

Conditions: Emergency claims must be supported by documentation

Weather-Related Cancellations

Our Weather Guarantee

Your safety is our utmost priority. If the captain, certified by us, considers the weather conditions unsafe for sailing, we offer adaptable alternatives:

  • Full Refund: Issued when rescheduling is not an option
  • Reschedule: Change your booking to another available slot without any extra charges
  • Charter Credit: Issue a voucher valid for one year from the original booking

Weather Assessment Method

We consider the following in our weather evaluations:

  • Analysis of wind velocities and directions
  • Evaluation of sea conditions and wave heights
  • Forecasts for visibility and precipitation
  • Notifications and advisories from the Coast Guard
  • Assessment of safety by a professional captain

Timing of Decision: Decisions regarding weather cancellations are confirmed at least 4 hours before scheduled departure.

Medical Emergency Refunds

Cases of Urgency

We are sympathetic to unexpected medical emergencies. The following events may qualify for exception:

  • A sudden medical condition or accident that requires hospital admission
  • Loss of a close relative
  • Urgent military deployment or recall
  • Jury duty or legal subpoena
  • Travel disruptions due to natural disasters

Proof Necessary

To handle requests for emergency refunds, the subsequent documentation is needed:

  • Hospital documentation or a medical certificate
  • Certification of death (where relevant)
  • Formal military directives
  • A legal subpoena or jury notification
  • Emergency declarations or travel advisories

Procedure: Refunds for emergencies are actioned within 3-5 business days once appropriate proof is provided.

Operational Cancellations

Technical Problems

Should the allocated vessel suffer unsolvable mechanical issues:

  • Substitute Vessel: We'll try to provide an equivalent alternative
  • Full Refund: If no similar vessel is accessible
  • Partial Refund: If the substitute has a different rate
  • Additional Compensation: We may offer further recompense for the trouble

Unavailability of Crew

In the uncommon event that a certified crew is not available:

  • Efforts will be made to arrange a replacement crew
  • Full refund if the charter can't proceed
  • Option to reschedule with no extra fees

Refund Processing

Method of Payment

We issue refunds back to the original mode of payment when booking:

  • Credit Cards: 5-7 business days
  • Bank Transfers: 7-10 business days
  • Cash/Cheque: 3-5 business days

Credit Card Transactions

€50 charge for cancellations with more than 72 hours notice

Processing for Bank Transfers

€25 charge for all bank transfer refunds

Processing for International Transactions

Additional charges may apply for international transfers

Provisions for Charter Credits

Issuance of Credits

Credits for future charters may be given under certain situations as an alternate to refunds:

  • Cancellations that occur late (less than 24 hours notice)
  • Cancellations tied to weather
  • Voluntary requests for rescheduling
  • Distribution disruptions

Terms for Credits

  • Validity: Good for one year from the date of issue
  • Transferable: Credits cannot be assigned to others
  • Value: Full value of the charter (excluding fees)
  • Usage: Applicable towards any open charter dates
  • Expiry: Will not be extended past 12 months

Refunds for Partial Services

Disruption of Services

If your charter is impeded or cut short due to our actions:

  • A refund prorated according to the unused portion
  • Credit equivalent to a future charter of the same cost
  • Complimentary services or upgrades may be provided

Interruptions Related to Guests

If a charter is prematurely terminated due to actions by guests or violations of safety rules:

  • No compensation for the unutilized time
  • Full payment must be settled
  • Potential for additional charges

Disputing Refunds

If you are not in agreement with a refund decision, these steps are available:

  • Ask for a reassessment from our management
  • Present further evidence or documents
  • Contact consumer protection organizations
  • Explore legal channels in accordance with law

How to Apply for a Refund

Your refund request should include:

  • The confirmation code for your booking
  • The time and date of your charter
  • The reason for calling off the service
  • Related backing documents (if needed)
  • The mode of refund you prefer

Step 3: Evaluation and Action

After receiving your claim, we will confirm receipt within a day, evaluate it based on our policy, arrive at a decision in two days, and carry out approved refunds within the timeframe mentioned.

Noteworthy Points

  • All applications for refunds must be in written form
  • Refunds are issued in €, regardless of the currency used initially
  • We strongly advise purchasing travel insurance
  • Changes to this policy will be announced with a month's notice
  • Refunds are subjected to relevant taxes and regulations
